Description:
This role works with Marketing leaders and is responsible for supporting the coordination of small to mid-size exhibition events working closely with our exhibit house suppliers, marketers and association counterparts to plan and execute. The role involves coordination with our compliance workflows, billing, budget management and overall project management. The Exhibits Specialist will project manage a variety of association sponsored exhibitions as part of the broader U.S. Events & Exhibits team reporting to the Senior Director, Events and Exhibits.
No travel is required for this position

Key responsibilities include (but not limited to):

Project manage and coordinate exhibition sponsorships with product and regional marketing stakeholders from start to finish.
Provide internal stakeholders with best-in-class exhibit solutions that align with the marketing strategy, budget, and key objectives.
Coordinate with lead generation specialist to implement standard ROI metric tools aligned with conference organizer and Client HealthCare to maximize tradeshow data resulting in quality leads and ROI.
Liaison with exhibition host/organizer as primary point of contact for securing space, key deadlines, show management services, floor plans, production schedules, payment schedules, badge registration, host/venue requirements, etc.
Manage all exhibition and event vendors including vendor quotations, invoicing, project deliverables, production timeline, on-site execution (as needed with onsite team attending) and payment.
Support portable exhibit program (Event-in-a-box) with supplier oversight, inventory management, billing and stakeholder support and training.
Manage deliverables and deadlines for print and digital content working with marketers for approved brand assets in conjunction with association/conference organizer
Comprehensive and accurate budget management of all exhibit/event elements
Coordinate product shipping, transportation, catering, exhibit badges and rooming blocks when necessary
Coordinate with the broader Events and Exhibits team around auxiliary events/experiences in conjunction with an exhibition for seamless event planning.
Work closely with compliance team to follow regulatory/legal protocols and workflows for the healthcare industry.
Support Marketing Director, Exhibits and Events with annual forecasting and reporting, special projects, and strategic planning initiatives.
Maintain calendar of events for the region


Required Qualifications:

1-2 years experience planning and implementing small to mid-size trade shows with strong understanding of the fundamentals of planning and executing a conference booth space.
Excellent communications skills, both verbal and written
Proven organizational, project, and planning skills
Proven budget and vendor management experience
Ability to work through change and pivot in an evolving exhibit and event environment.
Comfortable with administrative tasks related to compliance and billing
Healthcare/Pharma industry experience
Experience with Smartsheet for budget and project management
